2025 Pavilion Rental Season 4/12/25 - 10/19/25
Reservations for pavilions will be accepted beginning Wednesday, January 15, 2025 at 9:00 a.m. We will accept applications via fax (607) 273-2817, email: [email protected], or by mail: IYB, 1 James L. Gibbs Drive, Ithaca, NY 14850. All reservations are made on a first come, first served and paid basis. For questions or information regarding 2024 Pavilion Reservations, call (607) 273-8364.
To Reserve a Pavilion at Cass Park or Stewart Park:

Cass Park Large Pavilion
The Cass Park Large Pavilion is located right off Route 89 across from the inlet. There are a few picnic grills available near the pavilion, bathroom, drinking fountain, and playground located right near the pavilion. There is no electric service at the pavilion. There are approximately 18 picnic tables which seat 6-8 people and can accommodate up to 110 people maximum. Cass Park Large Pavilion Reservation Form
Cass Park Small Pavilion
The Cass Park Small Pavilion is located right off Route 89 across from the inlet and is next to the Cass Park Large Pavilion. There is a BBQ grill outside the pavilion, bathroom, drinking fountain, and playground located near the pavilion. There is no electric service at the pavilion. There will be approximately 3 picnic tables and can accommodate up to 20 people maximum. Cass Park Small Pavilion Reservation Form
To Reserve a Pavilion at Cass Park or Stewart Park:
- Complete the Pavilion Reservation Form for the pavilion you would like to rent by filling out all the sections and answering all the questions.
- Determine the fees associated with your rental of the pavilion which can be found on page one of the reservation packet for each pavilion.
- Pay the fee for Pavilion rental at the time of reservation.
- Give us credit card information (to keep on file) for your reservation even if you pay by check or cash. This is in lieu of collecting a deposit.
- Answer the questions about your event on the reservation and determine your permit needs.
- Sign and date your Pavilion Reservation Form.
- Provide the permits and documentation required by the City in advance of your event.
- Expect a phone call from our staff. They will follow up with you to confirm the information regarding your reservation, make sure you understand the rules and expectations of reserving the pavilion, and ensure that the proper permits, etc., are in place.

The Cass Park Large Pavilion is located right off Route 89 across from the inlet. There are a few picnic grills available near the pavilion, bathroom, drinking fountain, and playground located right near the pavilion. There is no electric service at the pavilion. Stewart Park Large Pavilion
The Stewart Park Large Pavilion is in the heart of Stewart Park just off the exit on Route 13. It is located near the front of the park beside the lake on the right as you enter. There are approximately 25 picnic tables inside the pavilion and several around the outside of the pavilion which seat 6-8 people each. There are also several picnic grills surrounding the pavilion. There is a ramp on the park entrance (northeast) side of pavilion. There are bathrooms located right inside the pavilion building. If you wish to use the BBQ Pavilion you must also rent it to utilize both of them.
Stewart Park Large Pavilion Reservation Form
Stewart Park BBQ Pavilion
The Stewart Park BBQ Pavilion is in the heart of Stewart Park just off the exit on Route 13. It is located near the front of the park beside the lake on the right as you enter. There are approximately 7-8 picnic tables inside the BBQ pavilion and can accommodate up to 40 people maximum. Bathrooms are accessible at the park maintenance building on the east side of the building. This pavilion has no electric service or water hook ups.
**PLEASE NOTE**: If you wish to use the BBQ Pavilion and the Stewart Park Large Pavilion, you must rent them both to utilize them.

The Stewart Park BBQ Pavilion is in the heart of Stewart Park just off the exit on Route 13. It is located near the front of the park beside the lake on the right as you enter. There are approximately 7-8 picnic tables inside the BBQ pavilion and can accommodate up to 40 people maximum. Bathrooms are accessible at the park maintenance building on the east side of the building. This pavilion has no electric service or water hook ups.

Stewart Park Small Pavilion
The Stewart Park Small Pavilion is in the heart of Stewart Park just off the exit on Route 13. It is located toward the back of the park in the playground area. There are 9-12 picnic tables inside the pavilion and several around the outside of the pavilion which seat about 6-8 people each. The pavilion can accommodate up to 95 people maximum. There are also several picnic grills surrounding the pavilion for your cooking needs. Bathrooms are accessible at the park maintenance building on the east side of the building. There is electric service available but no water hookup. There is a wheelchair ramp on the west side of the pavilion from the parking lot.

The Stewart Park Small Pavilion is in the heart of Stewart Park just off the exit on Route 13. It is located toward the back of the park in the playground area. There are 9-12 picnic tables inside the pavilion and several around the outside of the pavilion which seat about 6-8 people each. The pavilion can accommodate up to 95 people maximum. There are also several picnic grills surrounding the pavilion for your cooking needs. Bathrooms are accessible at the park maintenance building on the east side of the building. There is electric service available but no water hookup. There is a wheelchair ramp on the west side of the pavilion from the parking lot.

Pavilion Information
- The 2025 Pavilion Rental Season is from April 12th through October 19th.
- Each pavilion has a maximum capacity.
- You must rent all the pavilions and green space you intend to use.
- Reservations cannot be accepted over the phone.
- All reservations are made on a first come, first served and paid basis.
- All rentals are for full hours. For example, if you plan to use the pavilion from 8:30 a.m. - 4:00 p.m. you should list the hours on the rental reservation form as 8:30 a.m. – 4:30 p.m.
- Fee information can be found on page one of the reservation packet for each pavilion
- Please use only non-residue producing tapes (such as painter’s tape) for decorating. The use of staplers, tacks, nails, and/or glue is prohibited on the pavilions or tables.
- NO SPACE HEATERS OR PROPANE/KEROSENE HEATERS are allowed in or around the pavilions.
- RESERVATIONS MAY NOT BE TRANSFERRED, ASSIGNED, OR SUBLET to another individual or organization.
- ANY PHYSICAL DAMAGE TO THE PAVILION AFTER YOUR GROUP’S USE WILL BE SUBJECT TO ADDITIONAL FEES/CHARGES FOR ANY SUCH DAMAGE.
- The City reserves the right to require a deposit or security bond for future reservations based on your current use and treatment of the pavilion.

Reservation Changes
There is a $20.00 fee for any change from the original date and/or time. Changes depend on availability. There is only 1 change of time and date or moving of the original reservation allowed. This change must be made 3 weeks prior to the new reservation date.
Refunds
There is a $20.00 processing fee deducted from any pavilion refund or cancellation. Refunds may be made under the following circumstances:
Rental Responsibilities and Additional Charges
- Cass Park and Stewart Park are open from 8:00 a.m. to 10 p.m.
- Dogs are allowed on a leash within the parks. Dogs are not permitted in the Bird Sanctuary areas.
- Cass Park and Stewart Park are carry in/carry out facilities. Take all trash, decorations, leftover food, and recycle with you when you leave. Do not leave garbage behind or place it elsewhere within the parks.
- If additional cleaning or garbage removal is required after your rental of the pavilion, you will be subject to a minimum charge of $100.00 , plus $50.00 per hour of staff time.
- Park fields and lawns may be soft/wet due to weather. Park vehicles only in designated parking areas to avoid unnecessary damage to the lawns/fields/green spaces.
- The grounds and facilities at Cass Park and Stewart may not be used by an individual, group, or organization to raise money or sell goods or services. The only exception is that a not-for-profit organization or group may schedule one (barbeque or other similar) activity each calendar year.
- No kiddie pools, dunk tanks, bounce houses or other inflatables are allowed in either park, with the exception of blow-up movie screens. See permit section for blow-up movie screen requirements.
- You or your tent company will need to contact Dig Safely New York if you intend to have a tent that uses stakes.
- Special note for Cass Park Users – There will be construction happening later in 2025. Please be aware that this could impact Fall reservations.
Pavilion Rules of Use
Safety
- No space heaters or propane/kerosene heaters are allowed in or around the pavilion.
- No kiddie pools, dunk tanks, bounce houses or other inflatables are allowed in Cass Park, with the exception of blow-up movie screens are allowed with a tent or membrane structure permit, liability insurance and waiver.
- All picnic tables must remain in the pavilions and if you have moved the picnic tables around inside, they must be returned to their original places.
- The use of staplers, tacks, nails and/ or glue is prohibited on the pavilion or on the tables; please only use allowable adhesive products for decorating, such as: non-residue producing tapes (painter’s tape).
- Carry In/Carry Out. Please remove all garbage/recycling, decorations, leftover food, etc. It is your responsibility for the disposal of your garbage. Do not leave garbage behind or place elsewhere in Cass Park.
- If additional cleaning or garbage removal is required after your rental of the pavilion, you will be subject to a minimum charge of $100.00, plus $50.00 per hour of staff time.
- The possession and use of alcoholic beverages is allowed but you must complete a Waiver of Liability and Release form.
- The sale of alcoholic beverages, tickets/vouchers/catered for alcohol is prohibited unless all prior requirements of the City have been met prior to reservation.
- Any physical damage to the pavilion after your group’s use will be subject to additional fees/charges for any such damage.
- The City reserves the right to require a deposit or security bond for future reservations based on your current use and treatment of the pavilion.
Event Information
- Depending on the type of event/use of the pavilion a Certificate of Insurance may be required.
- If you are putting up signs, they may go up the day of the event and you are responsible for removing all of them at the days end of your event.
- PAVILION RENTAL DOES NOT INCLUDE THE SPACE AROUND THE PAVILION, so if you plan to set up larger activities on the grass outside/around the pavilion you will need to rent that space. Contact Jim D’Alterio at [email protected] or (607) 273-1090 for more information.
- We collect credit card information in case there are charges for cleaning, damages, trash removal, etc.

- Tents or Canopies
- Permits may be required for tents or canopies.

- For tents larger than 20x20 contact the Building Division at (607) 274-6508.
- You or the tent company must contact Dig Safely New York at least 2 working days before the tent installation. Call 811 for more information or visit https://newyork-811.com/
- Blow-up movie screens are allowed with a tent or membrane structure permit, liability insurance and waiver.

- Food Trucks must have a Department of Health Certificate and a permit to operate on City of Ithaca property.
- Vendor(s) using fueled appliances must acquire a propane use permit from the Ithaca Fire Department. For information about this permit requirements call (607) 272-1234.
- The possession and use of Alcohol is allowed but you must complete a Waiver of Liability and Release form (page 7 of this packet).
- Alcohol sold and/or provided (tickets/vouchers/catered) at an event or pavilion rental requires,
- special permission from the Special Event Permit Specialist.
- a Waiver of Liability to be signed at the time of the reservation being completed. Please sign the attached Waiver of Liability and Release and return with your completed reservation form.
- proof of a liquor license from the NYS Liquor Authority and liquor liability insurance are required.
- a venue that includes a controlled, clearly defined containment area.
- Does my event qualify as a Special Event?
- If you will be using 3 or more of the following at your event: amplified sound, green space, having vendors, selling alcohol, or erecting tents your event qualifies as a Special Event which will require a special event permit.
- If your reservation is a festival, parade, race, fundraiser, concert, biking or walking event, and/or your event is open to the public you will need a Special Event Permit.
- Depending on the event, you may need to rent all the pavilions at Stewart Park.
- Special Event permit applications may be filed as early as 6 months prior to an event.
- They must be received no later than 12 weeks prior to the actual event date.

Refunds

- The cancellation request must be received in writing/email and at least 45 days prior to the date of the original reservation: or
- When a scheduling error by the City has been made, a conflict of use has arisen or the pavilion is not usable, the reservation fees will be refunded without a processing fee.
Rental Responsibilities and Additional Charges
- It is expected that you will read, understand, and agree to abide by all the rules and regulations of pavilion use throughout your rental.
- It is important for you to understand that the renter or group will be expected to pay for all damages to the facilities at the park which may be caused by your group’s use (other than normal wear and tear). This may include fees for staff time, clean up, garbage removal, and garbage disposal.
- The City of Ithaca reserves the right to adjust or cancel your reservation if the City deems circumstances require. If this occurs, reservation fees will be refunded. Additional event costs related to the reservation cancellation will not be compensated by the City.
- When renting a pavilion at Stewart Park or Cass Park, renters agree to not hold the City of Ithaca or any of its employees responsible for any and all accidents, injuries, damages, or monetary loss from your group’s use of the facilities where your rental takes place.
Field Rentals
Cass Park fields and facilities may be reserved depending on availability and field conditions. Reserving groups will be required to pay the appropriate reservation fee and present a certificate of insurance with the City of Ithaca listed as "Additionally Insured." Learn more about field rentals.
